  • Give notice of and hold the annual general meeting

  • Prepare and distribute the agenda and minutes of the annual general meeting

  • Prepare a draft budget for consideration at the annual general meeting

  • Source competitive insurance quotations from the nominated broker for your body corporate

  • Calculate, issue and collect levies from owners

  • Maintain a register of owners details and record changes of owners’ contact details as advised

  • Attend to enquiries and general correspondence

  • Management of the body corporates finances

  • Make payments to creditors

  • Maintain body corporate funds in a trust account

  • Prepare year end financial reports

  • Lodging insurance claims

  • Liaise with and provide guidance for the committee on body corporate related matters

  • If required source quotations for minor maintenance work to the common property

  • Manage contracts with any third party on behalf of the body corporate

  • Ensure your Body Corporate meets its obligations under the Unit Titles Act

  • Enforce Body Corporate Rules and the responsibilities of Owners as set out in the Act and Regulations at the cost of the Owner who is in breach of those rules and responsibilities

  • Attendance at meetings (other than AGMs) including Committee meetings and EGMs

  • Preparing and issuing Pre-Contract and Pre-Settlement Disclosure Statements (charged to the Unit Owner and not the Body Corporate)

  • Debt recovery

  • File returns and information as required with the IRD including GST returns, Income Tax returns

  • Compliance/BWOF matters

  • After hours call outs

  • Obtaining job specifications/quotes/management of repairs and maintenance including large scale/complex property work, one off projects or construction or any other exceptional non-regular repair or maintenance time & attendance

  • Any additional duties or services instructed or authorised by the Body Corporate that are not specified in Schedule 1 of the management contract
